The replacement for retired SharePoint alerts: conditional notifications, scheduled reminders, custom templates, and digests. No workflows, no code.
Webinar video
Ultimate Forms: Alerts is a complete notification engine for SharePoint and the direct replacement for the classic SharePoint alerts Microsoft retired in July 2026. It sends conditional, branded email notifications, scheduled reminders based on date columns, and digest summaries, to anyone inside or outside your organization, all configured in the browser with no workflows and no code.

Classic alerts told you something changed. Alerts tells the right person the right thing at the right time, and looks good doing it.

Your alerts are gone. Your need for them is not.

For twenty years, "Alert Me" quietly kept SharePoint processes moving. That feature no longer exists in Microsoft 365, and the suggested substitute, rebuilding every notification as a Power Automate flow, turns a two-click convenience into a build-and-maintain project per list. Our guide to replacing SharePoint alerts covers the retirement in detail.

Alerts restores the capability in minutes per list, then goes far beyond what the original ever offered.

What Alerts can do

Notify on exactly the right conditions

Trigger on items added, modified, deleted, checked in or out, or on any date column. Then add conditions, as many as needed: notify the manager only when Status changes to Submitted, or when Amount exceeds the threshold, or when Priority is High and the assignee is external. Conditional alerts are the difference between signal and inbox noise, and they are configured from dropdowns.

Look like your organization, not like a server

Build reusable email templates with your branding, live column values, links, and images, and share templates across users and lists. Add action buttons directly in the message so recipients approve, acknowledge, or open the item straight from their inbox. Notifications to external recipients embed images correctly, so public-facing messages look professional everywhere.

Remind, repeat, and digest

Send reminders driven by date columns, complete with repetition: three days before a deadline, on the due date, and weekly after until resolved. Switch any alert to Summary mode and recipients get one concise email listing all changes instead of forty separate messages. Alerts generated outside business hours can wait politely until the next business morning.

Reach everyone who needs to know

Recipients can be users, SharePoint groups, distribution lists, external email addresses, or addresses stored in item columns, so "notify the customer on this record" is a rule, not a manual step. The configurable FROM field keeps replies flowing to the right mailbox per alert.

Stay in control at scale

Administrators get central management, a complete log of sent alerts, and the ability to fine-tune or block capabilities per organizational policy. Recipients get a working unsubscribe. Nobody gets mystery emails from an unaccountable system, which is precisely the governance the old alerts never had.

Approval reminders that stop processes from stalling, due-date chasers for contracts and renewals, customer-facing status notifications on requests, daily digests for busy queue owners, and escalation notices that CC a manager when reminders go unanswered. Alerts integrates with Forms tab conditions and pairs with Actions for automation beyond email. Many of the 450+ templates in the Solution Catalog ship with alerts pre-configured.

Frequently asked questions

Q: What replaced SharePoint alerts after Microsoft retired them?
A: Microsoft suggests Power Automate flows. Ultimate Forms Alerts is the direct no-code replacement: it restores alert functionality per list in minutes and adds conditions, templates, reminders, and digests that classic alerts never had.
Q: Can alerts fire only when specific conditions are met?
A: Yes. Any alert can carry multiple conditions based on column values, changes, and the current user, so notifications go out only when they matter.
Q: Can I send SharePoint alerts to people outside my organization?
A: Yes. External email addresses, distribution lists, and addresses stored in item columns are all supported, with embedded images for correct external display.
Q: Can I send reminders based on a date column?
A: Yes. Reminders trigger relative to any date column, before or after the date, with configurable repetition until conditions change.
Q: Can multiple changes be combined into one email?
A: Yes. Summary mode consolidates all matching changes into a single concise message on your chosen schedule.
Q: Do I need Power Automate or code?
A: No. Every capability on this page is configured through browser dropdowns and a visual template editor by business users and administrators.
